Booking Agreement

Terms & Conditions.

These terms apply to all media production services provided by Alpha Films LLC, doing business as Alpha Media and Team Alpha Media. By booking a shoot or paying an invoice, you confirm that you have read, understood, and agree to all conditions below.

Effective July 2026

01Payment

Full payment is due at the time of booking. Your shoot date is not confirmed until payment is received. Fees are based on the services selected and the property's square footage. Priority scheduling or expedited delivery is available for an additional $200, subject to availability.

02Cancellation & Rescheduling

Cancellation or rescheduling is free with at least 48 hours' notice. Requests made within 48 hours of the shoot are subject to a 30% penalty of the total booking fee — waived for inclement weather or acts of God. If we cannot access the property at the scheduled time and no prior notice was given, the full booking fee is forfeited.

03Delivery

Photography is delivered within 72 hours of the shoot; video within 5 business days. Timelines are contingent on payment in full and proper property access on shoot day.

04Reshoots & Retakes

If a reshoot is needed due to a Company error or quality concern, the first reshoot is free. Any subsequent Client-requested reshoot is charged at 50% of the original booking fee for the applicable services. Reshoots due to staging, weather preferences, or Client-side preparation are not covered.

05Property Preparation

The Client is responsible for the property being shoot-ready at the scheduled time: pets restrained or secured, tenants and occupants notified of the shoot in advance, and the property cleaned and staged before our arrival. Alpha Media does not provide staging or cleaning. Time lost to an unprepared property is not recoverable and does not extend the shoot.

06Property Access & Gated Communities

The Client is solely responsible for ensuring full, timely access — including obtaining HOA or community approvals and providing gate codes or visitor instructions in advance. Alpha Media is not responsible for delays or forfeited fees resulting from denied or delayed access; if access cannot be obtained on shoot day, the booking fee is forfeited and a new booking is required.

07Off-Market Properties

Media produced for properties designated off-market at booking is strictly confidential and for the Client's private use until the property is publicly listed or the Client authorizes broader distribution in writing. Alpha Media will not post or feature off-market media without prior written consent. The Client assumes responsibility for their own distribution of off-market media and holds Alpha Media harmless from claims arising from it.

08Liability & Property Damage

We treat every property with professional care. Alpha Media is not liable for pre-existing damage, normal wear and tear, or damage not directly and demonstrably caused by our team, and accepts responsibility for damage caused by gross negligence during a shoot — reported in writing with photos within 24 hours. Total liability for any claim shall not exceed the total fee paid for the booking; we are not liable for indirect, incidental, or consequential damages. Please ensure the property is adequately insured; we are not responsible for loss or theft of unsecured personal property.

09Media Licensing

Delivered media is licensed exclusively to the booking Client for marketing and sale of the subject property; Alpha Media retains all copyrights and raw files. Use by any third party (builders, stagers, designers, and similar) requires a separate license at a 15% surcharge of the original booking fee. Unless the property is off-market, Alpha Media may feature delivered media in its portfolio, website, and social channels.

10Travel

A travel fee of $50 plus $0.75 per mile applies beyond 30 miles from New Braunfels, Texas. Beyond 150 miles is quoted per project, and lodging fees may apply.

11General

These terms are governed by the laws of the State of Texas; disputes shall be resolved in the state or federal courts of Comal County, Texas. Alpha Media may update these terms at any time — the version in effect at the time of booking applies.
